All of the convention block hotels have agreed to allow reservations, even otherwise non-cancellable ones, to be cancelled without penalty, assuming it’s done at least 60 days in advance.

Some of them are automatically cancelling all reservations within the group block, while others are not.  But, in either case, you can individually cancel your reservation by contacting the hotel as specified in your confirmation, and asking them to cancel your reservation.  Since the reservation information is between you and the hotel, the convention generally doesn’t have access to the reservation, so we cannot cancel it for you, although, in the cases where the hotel is cancelling all the rooms in the block, your reservation will eventually be cancelled even without your contacting them, but it may speed up the process if you cancel the reservation yourself.

Update at 6 June 2020:

Doubletree operator, Hilton Hotels, announced an updated cancellation policy. For reservations made prior to March 12, 2020, you may now change or cancel any future reservation, without penalty, as long as you do so at least 24 hours before your scheduled arrival date, but not later than August 31, 2020. This  includes reservations described as “non-cancellable” or Advance Purchase.

 

CoNZealand is going virtual

With the convention having gone virtual, we recognise that there are two travel-related tasks that members will need to accomplish.

The first is cancelling your hotel rooms.  For reservations made outside the block, the cancellation mechanism is between you and whatever booking method you used. 

For reservations in the block, the information is as follows:

All reservations are fully cancellable until 60 days beforehand— late May— and credit card guarantees should not have already been charged. We are working to see if we can ask the hotels to cancel all reservations within the group block. If not, or if you wish to do so before we have answers on that, you can cancel your individual reservation at no charge.

We are working with the exceptions listed above to see how much we can arrange for you to recover.

We also recognise that you will need to cancel your airline reservations. Since CoNZealand was not involved with this, we have no advice to give on how to recover any money paid to your transportation provider(s).  We note that the airlines all have different rules on cancellation due to the virus and government restrictions, and those rules are constantly changing. All we can suggest is that you stay in touch with your carrier, and see what can be done to recover funds paid.

Bookings can be cancelled without charge up to 60 days in advance.  You will need to contact the hotel directly — they can’t cancel the reservations in the block without authorisation from the person who has reserved the room.

James Cook Grand Chancellor website.

Bookings can be cancelled without charge up to 60 days in advance.

Members must cancel these bookings themselves.

The hotel has agreed to check bookings and send reminders when they reopen, but there is no confirmed date on this. Even though the hotel itself is closed, you should still be able to cancel now.

The West Plaza will be contacting members to cancel their bookings with no penalty.  You can contact them to cancel before they contact you.

There will be a delay in doing this as they are experiencing a very high volume of cancellations.

Payment for this hotel was in full at time of booking.

At time of writing, the Hilton chain were allowing cancellations for bookings beginning 30th June 2020, and have been gradually extending this.

City Life Apartments website.

City Life are asking all people who have booked to contact them directly about their cancellation. They will then cancel the booking with no penalty.

They may be slow to reply as they are experiencing a very high volume of cancellations.

The Village Group have agreed to cancel all bookings made using the CoNZealand booking code without charge. Non cancellable and pre-paid

Rydges website.

All reservations at the hotel have been cancelled.

There are a number of hotels that have rooms with support for those with reduced mobility, as outlined below.

 

Intercontinental Hotel (closest to the TSB Arena/Shed 6) 

All deluxe (50) and club rooms (25) are accessible, with roll in showers. However, not all have grab bars – please specify if you need these in your booking. Shower stools can also be provided. Standard rooms at this hotel have tub showers.

 

West Plaza Hotel (closest to the MFC) 

There are 6 accessible rooms, which are fully accessible with roll in showers. There are fire doors in the hotel corridors which swing both ways, and can be pushed open by a mobie. Other rooms at this hotel have a mixture of lip and tub showers.

 

Ibis Hotel (close to the Intercontinental Hotel) 

There are 9 accessible rooms with roll in showers. Other rooms at this hotel have a mixture of lip and tub showers.

 

Novotel Hotel

6 accessible rooms with roll in showers. Other rooms at this hotel have a mixture of lip and tub showers.

 

Sofitel

Doubletree

A number of accessible rooms with walk-in showers, however the elevator is not wide enough to fit a mobility scooter (mobie) through the doors, and as a heritage listed building, the hotel is unable to modify this. This hotel is suitable for those with only a mild mobility impairment (e.g. cane / crutches / walker) or possibly a narrow manual wheelchair, but definitely unsuitable for standard width wheelchair / mobie users.

 

Mercure Apartments

A number of accessible rooms with roll in showers, grab bars and wall attached foldable shower seat.

 

All the hotels have fridges, but many charge a fee (varying from $5 – $10) to have the mini-bar items cleared from the fridge. None of these hotels have kitchen facilities (microwave, etc). See below for apartments.

 

When you book with the hotel, it will be important to note your specific access requirements – eg mobie access / walk in shower / roll in shower / grab bars / etc, so the hotel can best match you with a suitable room.
